Cancellation Policy

OUTDOOR ADVENTURES

It is not uncommon for us to reach our activity maximum and have to turn others away. When we accept and confirm your booking, that portion of our capacity is then unavailable to other people. Many of the costs associated with your adventure are committed long before you arrive. Food, insurance, staffing, vehicle and equipment are all paid or booked in advance. These costs are unrecoverable if you cancel. For this reason, we strictly adhere to our cancellation policy. 

One Day Programs

 On the day: Cancellations or transfers will not be eligible for any reimbursement.

1-2 days notice: Cancellations will not be eligible for any reimbursement.Transfers will incur a fee of $20 per person.

3-7 days notice: Cancellations will incur a fee of 30% of the program cost with the remainder being reimbursed via bank transfer (Direct bookings only. Bookings made through a booking agent will be subject to that booking agent’s cancellation policy) Transfers will incur a fee of $20 per person

8+ days notice: Cancellations will incur a fee of 30% of the program cost with the remainder being reimbursed via bank transfer. (Direct bookings only. Bookings made through a booking agent will be subject to that booking agent’s cancellation policy). Transfers will not incur a fee.

Extended Programs

On the day: Cancellations or transfers will not be eligible for any reimbursement.

1-14 days notice: Cancellations will not be eligible for any reimbursement. Transfers will incur a fee of 30% of the program cost.

8-28 days notice: Cancellations will incur a fee of 30% of the program cost with the remainder being reimbursed via bank transfer. (Direct bookings only. Bookings made through a booking agent will be subject to that booking agent’s cancellation policy). Transfers will incur a fee of $20 per person

 

29+ days notice: Cancellations will incur a fee of 30% of the program cost with the remainder being reimbursed via bank transfer. (Direct bookings only. Bookings made through a booking agent will be subject to that booking agent’s cancellation policy). Transfers will not incur a fee.

Adventure Out reserves the right to cancel any program. In the event that a program is cancelled by Adventure Out, a full refund will be given for direct bookings. Bookings made through a booking agent will be subject to that booking agent’s refund/transfer policy. Adventure Out Australia may at any time change the approved and accepted itinerary or substitute activities due to unforseen circumstances. Notification will be given as early as possible.

 

GIFT VOUCHERS

 Gift Vouchers are strictly valid until the expiry date specified on the voucher. The adventure must be booked prior to the expiry date, however the adventure does not have to take place prior to the expiry date. No refunds are given on Gift Vouchers under any circumstances. Gift Vouchers may be transferred to another person or the value used towards another Adventure Out program at the discretion of Adventure Out team members.

EXTENDED TREKS (Kimberley and Kokoda)

Cancellation and postponement conditions

This quotation is valid for 6 months. A 30% deposit is required within one month of acceptance of this proposal.

Upon the acceptance of this program, the Client agrees to the following conditions:

 Adventure Out requires full payment of the program 4 weeks prior to commencement.

  1. If you cancel within 8 weeks of program commencement date, 75% of the contract value will be refunded.
  2. If you cancel within 6 weeks of the program commencement date, 50% of the contract value will be refunded.
  3. If you cancel within 4 weeks of the commencement date, a refund will not be given.

Adventure Out Australia reserves the right to cancel any program. In this event a full refund will be given.

Adventure Out Australia may at anytime change the approved and accepted itinerary or substitute trek tours due to unforseen circumstances. Notification will be given as early as possible.


CORPORATE AND EDUCATION

For cancellations 8-14 days prior to the program date, 15% of the program delivery fee will be charged.

For cancellations 2-7 days prior to program date, 30% of the program delivery fee plus any catering and transports costs incurred will be charged.

For cancellations 1 day prior to the program date, 50% of the program delivery fee plus any catering and transports costs incurred will be charged.

For programs cancelled on the program date, 100% of the program delivery fee will be charged.

For programs postponed/rescheduled 8+ days out from the program date, a 5% rebooking fee plus any catering and transports costs incurred will be charged.

For programs postponed/rescheduled 1-7 days out from the program date, a 15% rebooking fee plus any catering and transports costs incurred will be charged.

For programs postponed/rescheduled on the day of the program, a 30% rebooking fee plus any catering and transports costs incurred will be charged in.

Adventure Out Australia reserves the right to cancel programs, with a full refund given.
